Resignation Letter Templates for Every Situation (Short Notice, Immediate, Contract)

Eight resignation letter templates you can copy — standard notice, short notice, immediate resignation, contract roles, probation, health, relocation and a difficult exit. With the wording that keeps each one professional.

A resignation letter needs four things: a clear statement that you are resigning, your last working day, an offer to hand over, and a thank-you. Everything else changes with the situation. Below are eight templates for the situations people actually face, with notes on the wording that matters in each.

The one rule that applies to every version

State the last working day, not the notice period. "I am giving one month's notice" invites a disagreement about which month. "My last working day will be 26 September 2026" does not.

If you are in Thailand, work that date out from your wage-payment cycle rather than counting 30 days — Section 17 ties notice to your payday, which is often longer than a month.

1. Standard notice

The default. Neutral, short, gives no reason — and you are not obliged to give one.

I am writing to formally notify you of my resignation from my position as [job title] at [company]. My last working day will be [date], in line with my notice period.

Thank you for the opportunities I have had during my time here. I am committed to completing a full handover before I leave and will support the transition in whatever way is most useful.

2. Short notice

You are leaving sooner than your contract requires. Acknowledge it once, do not over-apologise, and lead with what you will do to reduce the disruption.

Dear [Manager's name],

I am writing to resign from my position as [job title], with a final working day of [date]. I recognise this is shorter than my contractual notice period, and I am sorry for the difficulty that causes.

To limit the impact, I will prepare full written handover documentation for my active projects and I am willing to remain available by email for [period] after my last day to answer questions.

Thank you for your understanding.

Yours sincerely, [Name]

Offering post-departure availability is what makes this letter land. It converts an inconvenience into a managed one.

3. Immediate resignation

Reserve this for genuine circumstances — serious illness, a family emergency, a situation you cannot safely remain in. Give less detail, not more.

I am writing to resign from my position as [job title], effective immediately, due to [brief reason — e.g. urgent personal circumstances].

I understand this is far from ideal and I am sorry for the disruption. I have documented the current status of my work in [location] and am happy to answer handover questions by email.

Be aware that resigning without notice is a breach of contract. Your employer generally cannot withhold your final pay over it, but they can in principle claim proven damages. Weigh that against the reason.

4. Fixed-term contract ending early

The framing differs: you are terminating an agreement, so refer to it.

I am writing to give notice of my resignation from my position as [job title] under my contract dated [contract date]. My final working day will be [date].

I would be grateful if you could confirm the arrangements for final payment and the return of company property, and I will ensure all deliverables under the contract are documented before I leave.

Asking for written confirmation of the final settlement is worth doing on any contract role.

5. During probation

Short and unfussy. No apology is needed — probation runs both ways.

I am writing to resign from my position as [job title] during my probationary period. My last working day will be [date].

Thank you for the opportunity and for the support I have received from the team. I will make sure my current tasks are documented before I leave.

Note that in Thailand a probationary contract is treated as an indefinite contract, so the ordinary notice rule still applies — see resigning during probation.

6. Health reasons

Name the category, never the diagnosis. You are not required to disclose medical details, and disclosing them creates a record you cannot take back.

I am writing to resign from my position as [job title] for health reasons that require my full attention. My last working day will be [date].

I have valued my time here and I am grateful for the support I have been given. I will complete a full handover before I leave.

7. Relocation

Straightforward and unarguable — nobody takes relocation personally.

Dear [Manager's name],

I am writing to resign from my position as [job title]. I am relocating to [place] and my last working day will be [date].

Thank you for everything I have learned here. I would be glad to help train my replacement or document my responsibilities in whatever form is most useful.

8. Leaving a difficult situation

The hardest one to write, and the one where restraint pays. The letter is a permanent document that HR keeps and that future reference requests may touch. Say nothing you would not want read aloud.

I am writing to resign from my position as [job title]. My last working day will be [date].

I will ensure my responsibilities are handed over properly before I leave.

Yours sincerely, [Name]

That is the whole letter. Grievances belong in a separate conversation, or in an exit interview if you choose to raise them at all — not in the resignation letter.

What to leave out of all of them

  • Negative comments about people or the company. The document outlives the feeling.
  • Where you are going, unless you want it known. You are not obliged to say.
  • Salary complaints. If money is the reason, the time to raise it was before you decided.
  • Conditions or ultimatums. A resignation letter that is really a negotiating position tends to be accepted at face value.
  • A long explanation. One sentence of reason is plenty. Longer letters invite scrutiny, not sympathy.

Sending it

Paper or email both work, and email is now normal in most workplaces. Send it to your direct manager, copy HR, and keep a copy for yourself with the send date visible — that date determines your last working day.

Frequently Asked Questions

Do I have to give a reason for resigning?

No. A resignation letter is valid without one. A single neutral sentence is common courtesy, but you are entitled to leave it out entirely.

Should the letter be addressed to my manager or to HR?

Address it to your direct manager and copy HR. That reflects how the decision is actually processed, and it means your manager hears it from you rather than second-hand.

Can I change my mind after sending it?

Only if your employer agrees. Resignation is a unilateral act that takes effect on the date you state — once given, withdrawing it depends entirely on your employer's goodwill.

How long should a resignation letter be?

Three short paragraphs. Anything longer is usually a sign that the letter is doing a job some other conversation should be doing.

Should I mention my new employer?

Not in the letter. If you want to tell your manager in person, that is a separate and voluntary conversation.
